October 27, 2005 CONFERENCE CALL

ON THE CALL: PRATHER JOE& EV, PARSONS, BRAKELEY, DAVIDSON, McGINITY, SCASSERRA, KIMBALL, BERTON, REYNOLDS, MENNA, NEWLIN, BLYLER, PICKENS, and MANNING

REGISTRATION: Jay updated his report of earlier in the day. We now have registered 13 classmates and total persons registered are now 24. It was noted by one member that comparing "who's coming" and the registrations to date we should expect a minimum of 94 classmates to register.

COSTUMES: Ev reported that the ladies have decided that the scarf size would be 22" x 22". The consensus of the committee (COC) is that if we use a design developed for us by the supplier Aztec we will not shop the price with other vendors because they did the design work, and because Aztec's prices seem to be competitive. Justin will ask Aztec to give us a modification of their design with the solid orange center. We wish to see what a black center with orange stripes, ala the tie with that design. Ev will discuss with the ladies who are on the sub-committee.

Men's tie designs, which will be sold as an option, and not to be worn in the P-rade, were discussed. There was support for #3 and #4. It was suggested that the design #4 would be better if the numerals 1 9 6 & 1 were vertical rather lying on an angle.

Justin will resolve the multi-size issue of men's/women's/kids T and polo shirts since we do not want to over-order. Prather said there may be some leftover kid's T's from previous reunions that could possibly be used.

Ev & Justin received a message that there are multiple bolts of our 25th reunion material at Woji's company. Good news!

ROOMS-BEDS: Richard Manning reported that he has booked, or reserved, a total of 296 beds. In that total we need to allocate 12 beds for satellite classes and 10+ for our undergraduate crew.

HEADQUARTERS: VJ and Bob Pickens reported that they have hired undergraduate co-chairs Christine Constantino and Colin McDonnell. They in turn have hired 9 more undergraduates for the crew and will hire one additional undergraduate. VJ and Bob also reported that they will be able to keep the meals within the budget. VJ and Bob have reviewed potential tent and Holder courtyard layouts with Charlie Krank of the University and happy that they can work out a layout that will work for us.

SATELLITES: Lee Blyler reported that he had emailed satellite classes '59, '60, '62 and '63 with the offer to join for a fee of $800 which includes beer and sodas for the weekend and lunch on Saturday. Each satellite class will be offered 3 beds at $95 each. Lee will follow up with another email in another month, or so.

MAILINGS: the 1st mailing went out on the 27th (BTW I received mine on the 28th-JEP). We will plan a second mailing when we evaluate the response to the first mailing.

P-RADE: George Brakeley reported that he has booked the Mummers band "DUFFY" for $2,200 plus expenses for a bus, lunch Saturday, and changing room for 42. We will have engineer's caps to pass out, signs, and some train mock ups to put over the class golf carts.

ALUMNI FACULTY FORUMS: Spencer Reynolds solicited ideas for forums and for the names of classmates who might participate. Some of the names that should be under consideration are: Gil Omenn, Peter Georgescu, Ned Spurgeon, and Cookie Krongard.

OTHER: we have scheduled the class picture for 12:30pm on Saturday on Blair steps and have requested Richardson at 6:30pm on Saturday for a class memorial service.

The Committee met via Conference Call. The Committee is now using the Princeton conference service which is more economical.

We began with VJ Menna's report on Headquarters: Big news is that we have been assigned to Holder Hall for our Reunions Headquarters. Announcement met mixed reviews: a real plus for the proximity to town and to the P-rade starting point, and Jim Blair is thrilled!. The noise factor is a bit of a minus. There is a bit of nostalgia towards Holder as 3 successful 61 Reunions have been held at that site.

Housing: due to the noise factor there may be more people wanting off site rooms than there would if we were at Forbes College. Housing Committee has secured blocks of rooms at several Hotels on Route 1.  Rooms about $200 per night. Holder rooms will be $75 a bed per weekend. The Seminary is also a possibility and we can have 40 rooms. We can get refunds if we bail out by April 1st.
Pat Davidson suggested the Merrill Lynch Conference Center-it was $139 and was very nice. This will be investigated by Housing.

Meals: Jay brought up the issue of children's portions. We should not have to pay full price for children  At our last major Reunion paid the adult price for kids meals.  We should try this time to secure reduced rates for children. Team agreed and Joe P. suggested we get an itemized list of all prices per meal.

Budget: Jay needs people to review the Budget and let him know of any changes or questions. Need to approve the Budget.

Mailing: Ted is trying to finalize the first mailing and needs information. We need to close on some
decisions :
Fee Structure-Incentive scheme
Discount for early registration-or create a pool for them to create a drawing.
Housing information: Rooms, locations and prices
P-rade Schedule
Events
Seminars
Entertainment
Message to Wives-Costume, activities, etc.
Please respond to Ted ASAP with your information. He would like to get a letter back out to all of us for approval by 8/25 when he leaves on vacation. He will then send out the first mailing after September 17th when he returns. Mailing will go out by Snail Mail, eMail, and Web posting.

Stationary: Can the orange on the stationary be brightened? It's a bit dull.

Ladies Costumes- Ev-Discussion at last meeting by the Ladies Committee: Since women want a style most complimentary to their figures, fabric will be sent to those wishing a new costume and they can have their costume made according to their wishes: pants, capris, skirts, shorts or dresses. The Committee was supportive of this decision.

P-Rade: George-Looking at bands, investigating the pennants on sticks seen and liked at this year's P-rade.  Engineers' hats ordered for $350. Great news about our train. George and Carol Wojie have worked out a way to decorate 3 golf carts to look like an engine and two cars. Carol is lending one she is buying and others we can rent from the University. We want to win that prize!!

Ties: Justin- Do we want to use our old ties? Our only tie has the logo from the 25th and there was a concern that that might not be appropriate for our 45th.  The logo on the tie could be an updated version of the tiger with stripes that are a muted "1961"  Will look for new ones.

Communications: Tom Donnelly- If people will send him their groups, he will collect the names and do the follow-ups, make phone calls, etc. If there is a general email distribution for that group please send him that as well.

Reunions web-site. Joe congratulated Len Berton on the great job he has done with the
website.

Next Meeting: Joe will schedule a follow-up meeting, via Conference Call, as information comes in and decisions are needed. Watch for announcement.

The Team met at Carol's House in Princeton, some in person some via Teleconference.

We began the meeting with discussion on the P-rade:

Band-Everyone likes the idea of the Mummers. Vince has a good contact and will follow up with them.
Golf Carts-We will need at least 2, and the fact that we have them should be included in the publicity and News letter.
Balloon-should order Orange and Black balloons with Logo.
Signs-of course our signs matter; Jay Webster will be asked for suggestions. George is adamant that they be printed-looks better, easier to read. He has some good ideas. Lawrenceville Specialty is a good source for Signs. All this is included in the Budget. We want to go for the "Most Imaginative" Award. If we could leverage the Train theme-we could create a cardboard train-use children to maneuver. Last P-rade there were 15 Children so should be ok.

Communications: John Graham-Groups/Associations Let him know what groups you could support: Nassoons, Clubs, NROTC, etc. Each person should contact their group personally. Reminders will be provided. Len Berton will be happy to send these out via eMail and Web site.

Mailings: Ted Newlin created the draft for the first mailing. It was well received.

Costumes: Black golf shirts were chosen over the gray golf shirts or white dress shirts. Black shirts with the 45th logo. Once the design is chosen then we can work with the designer on the colors.

Stationary: We need to order soon so we need to close on the design.

Ladies: The Ladies Committee will meet soon via Conference call and close on the plan. It was decided later that evening that the design of the dress, skirt, or pants can be left to the Lady, due to different taste and shapes, and because many of the women already have their Costume from earlier reunions. So we will poll the women and send them the material they need and let them have their own costume made. This will also reduce expenses, helping the Budget as there was no previous line item for Ladies Costumes.

Band: Sue reported for Jim who was unable to attend. A strong consideration is JJ Kaiser's Band, but don't worry Jim will take care of this!

Dinner: Vince will look into Forbes College.

Maps: Kenny will contact the May guy.

Lodging: 4 weeks after this coming Reunions we will know if we got the Princeton Inn. We should visit the site to understand what it is like now. It looks positive that we will get it.

Additional Friday Events (Saturday is way too busy for anything extra): Great interest for a trip to the Sculpture Garden with Lunch included at Rats. Mary Pickens will call to reserve spots. Looks like about 162 spouses. History of the 40th, 50% were from outside the metro areas. Brakeley and McGinity will work on Tennis and Golf. Golf can be done through Friends of Princeton. We will probably need 2 rounds.

Faculty Alumni Forum: Jim Kellogg is working on this.

Next Meeting: At the 44th-May 27th. Don't forget Dinner at Blair's!

The Team met at Griffin and Howe, Bernardsville, and via Teleconference.

Budget Review: Jay Parsons
-May be light on Publicity. Should consider adding additional funds here to ensure enough
mailings/notices are covered.

Theme:
- Discussion followed on the graphic image of the Train:
- All liked the heads on version
- Image needs to be simplified, crisped up so that it can be replicated well
- Add a Tiger tail coming out of caboose window
- Add No.45 to Engine, enlarge 1961
- Specialty shirts-Tom Donnelly has a connection Gary Cuperal who could do the artwork and
embroidery of the shirts. He will follow-up with him on cost.
- Most felt one logo would be good, leverage that on mailings, shirts, etc.

Costumes:
-Some liked the idea of a Black T Shirt or golf shirt to avoid the Good Humor Man look after the P-rade is over.
-Some wanted to keep the shirt and tie.
-A gray golf shirt was another suggestion.
- Joe volunteered (actually his wife volunteered him) to play Model and we will send out pictures for all to chose from: Orange Blazer with White Shirt and Tie, Black Golf Shirt, Black T Shirt and Gray Golf Shirt .
-If white shirt and tie wins for the P-rade, the men could consider changing into their black or gray shirts afterwards.
- For the P-Rade all should have one look.
-Scarves would be fun too.
-Ladies Committee forming and will meet to redesign the Ladies Costume.

Hats: Order lots of hats. Consider conductors Caps but not order too many. Baseball caps would be more popular.

Bands/Entertainment-Jim Blair
- Friday-if we are off site then stay there. No point in having a Band back at the Tent if no one goes back there. That's what happened last time.
-After Dinner entertainment is not necessary and can even be annoying if the primary purpose of coming back is to talk and catch up.
- We hope to be at Forbes but this is not guaranteed at the moment. Won't know till after this year's reunion.
- Saturday Night Fireworks is a concern as well. People go-it's great but it breaks up the unity of the class.
- Do we want to plan something for those who come then? We could do a Disco?

Attendance: Pat Davidson said we should start providing a rough structure of events to start building the enthusiasm.
-Send to Roommates and Classmates so they can start discussing who's coming and reach out to those difficult to attract.
- Other groups to pursue: ROTC, Clubs, Section Members.
-Ted Newlin-Communications-will tailor some of the mailings to meet the needs of the different groups. First mailing should go in August.
- Ladies should have a special message as well, including special events of interest to them,
costume, lodging information. The Ladies Committee will work on this based on some of their
new ideas.
-Highlight the beauty of Forbes as it might encourage people to attend.
-Stress the importance of getting together, camaraderie, that getting together is the #1 priority
-Bob Pickens will help ensure this priority where Headquarters is concerned..
-Messages and Stationary should be chosen soon.
-Need Classmates e-mail addresses. George is putting a message in PAW for e-mail addresses and Len is writing to alumni children requesting their fathers' addresses.
-May want to try a gimmick to encourage early sign-up: First X% will go in a hat and if picked will go to Reunions free.
-Include lodging information-people care about that.

P-Rade:
-Music will play a large part in enforcing our theme. Play songs like "Ive been workin on the
Railroad" etc.
- String Band would be great.
-Mummers as well.
- Capitalize on the date: 6/1/06

Accommodations:
-Check on availability of Forbes
-Provide shuttle service
-From Hotels as well if not too expensive.
-How many can Forbes accommodate? Need to find this out for the mailing.
-What about Thursday night?

44th update:
- Friday night-Dinner at Sue and Jim Blair's
- Notices-paper plus email. George will put message in PAW. Class expense ok.
- Notice will go out in April.
- The Blairs have a speaker-Sr. Faculty in Biosciences to speak.
- Poet and Jim Richardson other possibilities.
- McGinity will write President's Letter inviting classmates to 44th.

Next Meeting:
-Agenda additions: Programs: Tennis, Golf-Friends of Golf is for all Classes, Tennis can be
scheduled.
-Date to be scheduled. Joe will check availabilities for best day.
-Continue using Teleconference-works well for those who cannot get here in person.

February 28/05 Meeting Minutes

The meeting opened with discussion of the Class Theme: Choices were:
- "Clear the Track", using the Locomotive Logo
- "Staying Alive", using the Song from the BGs
Committee voted strongly for Clear the Track. Although they liked the song Staying Alive, there was concern that it might not be sensitive enough and may have some legal ramifications. However it may be used in some way where appropriate.

Suggestions to expand on Theme:
- Logo-everyone liked the Logo but thought the design needed to be crisped up in order to replicate effectively. Other favorable suggestions were: Just use a front-end view of the Locomotive with 61 or 45 in the design.
- Tie: Need a new one, order in large batches to reduce cost, could use the Logo or use what we have now but make it larger.
- Hats: We had some straw ones before that were popular. Baseball hats would be really good as well, or maybe an engineer's cap. We need to figure out sizing. Maybe do a '61 hat that's not just for 45th but could be used year after year.
- Polo Shirts: Use the Railroad Logo, a black shirt would be nice, would help combat the Good Humor Man Look with the White Pants and eliminate the need for a neck tie.
- Pants: Good to purchase some standard white pants, making it easy for people to uniform.
- Ladies' Costume: Approved the idea of a Ladies' Committee to plan the Ladies' outfits. Evie will ask Rachel Manning, Diane Davidson, Lorraine Menna, Ellen Brakely, Stella Parsons, Carol Wojie and Sue Blair (of course anyone's welcome) to come up with the designs.

P-Rade Discussion:
Band: Do we want more than one? Band would probably be about $3,000 although think
Mummers are $2500. Think we should consider 2 bands.
Pics on Sticks: Used last time, can we do something different this time? Should we add ones for widows to carry?.
Float: We need to make a big splash here. Get creative-Instead of spending a lot of money on the Float-we could expand on Locomotive/Track -create a long Costume of Locomotive and Cars to move along through the parade, larger children would walk inside.

Budget Review: Jay Parsons
Considerations: All agreed Widows should be non-profit. Children should not cost as much as
Adults.
Categories Reviewed:
- Communications: Need constant communications to keep up interest. Postcards, email and
foldovers can be used. PR-go all out! Keep the hype going, advertise through Clubs, Sports,.
- Headquarters and Housing
- Wine: Jay suggested good inexpensive brand.
- Water-get a couple of Coolers
- Meals-Lobster was a popular choice
- Rain precautions: While the Tent is being set-up, make sure there's a place people can go to get out of the rain.
- Sunday Brunch-Can we get to keep at the site up Sunday?
- Band for Sat. Evening: Jim Blair in charge. How can we control the noise? Very important!
Should we use JJ Keyser's Quartet? Should we have an off site tent for people who just want to talk. Some people come just to see each other-don't want to dance. What do people want to do? Let's do a Survey by email. Everyone-send questions to Joe P.to put on the Survey.
- Golf Carts: We need to get the number of those who need them for the P-rade and include in the budget
- Before Dinner Suggestion: Poetry Reading by James Richardson.

Additional jobs need to be assigned. Some good candidates:
- Attendance-Tom Donnelly will be asked
- Headquarters-Vince Menna and other(s)
- Lee Blyler and Bob Pickens would be good contacts
- Who's doing PR?
- Alumni Faculty Forum: Jim Kellogg in charge.

This memo attempts to summarize the main points made by Adrienne Rubin Saturday, January 15, 2005.

Resources:

Alumni Council Committee on Reunions: has attendance statistics, past financial statements and such.

On-Campus Committee on Reunions: (I don’t recall what use it is.)

Alumni Council Staff: has a conference line available for telephonic meetings.

Early needs:

Give Adrienne the name and number of someone willing to receive calls from student singing groups and others soliciting employment.

Check out payroll contract forms and such at the reunions web site.

Coordinate dates of reunion mailings with the dues incentive program.

Major responsibilities (may be shared, of course):

Class officers: Coordinate communications, use of web site

Alumni-Faculty Forums: Best assigned to a person willing to make cold calls. Someone who knows class achievers is good. Ideally should be able to attend some forums in June ’05 to check them out.

Artwork: Logo, which should work in black and white as well as color. Order stationery and put logo and theme on everything including website.

Associates: Programs for and welcoming of widows.

Beverages: Obtain licenses, determine electrical requirements. Adrienne suggests a grad student to supervise bar to reduce exposure of students to demands for free drinks from their classmates.

Children’s programs: Kids 3-12 may use Tiger Camp Saturday evening. Student crew members are not allowed to babysit. Committee member in charge of children’s activities should probably be local so as to be able to visit prospective suppliers.

Community Service: Some classes perform a community-service project as part of their reunion. This may bring new attendance and will involve the Theme, Program and Publicity chairs if not Transportation. No fundraising is allowed at reunions.

Costumes: Accessorize; be aware of storage needs.

Entertainment: Saturday evening entertainment should start around 10 p.m., after the fireworks. Watch out for contracts calling for separate rooms for all band members for four nights (or even dressing rooms beyond those available.) Too-loud music that cannot be escaped is the single largest complaint about reunions.

Finance: Reunion funds must be kept separate from class funds for tax reasons. Reunion can give excess to class but cannot receive funds from class. Determine breakeven attendance soon. Some classes have held drawings among fees (or $100 deposits) paid by September 30; winner gets free reunion.

Food: No one comes to reunions for the great food. Caterers must be insured and the University Dining Service exerts a monopoly over most available sites. Remember off-site expenses in budget.

HQ: Any tents beyond a large tent, a bar and a registration tent are at our expense. Chair should check out possible sites at ’05 reunion. We get 3 golf carts only, and student drivers must pass University van-certification test.

Housing: No accountant as chair as job must largely be done when rooms are assigned in April (May for grad school). Chair should have thick skin. Beds are required for student crew, 3 for each satellite class and one for each person booked in, $75 per bed. Don’t let students lose the master key because rekeying whole dorm is very expensive.

Memorial Service: Invite the bereaved, especially those of last 5 years. Don’t make the service part of a meal.

P-Rade: Chair should provide text for the review-stand narrator. Book bands in the fall to get good ones.

Program: Chair should prepare a preliminary program for mailing and another for distribution on site.

Publicity/Promotion: Mail early, not too many E-mails. Do not use independent mailing service until AC staff has seen the materials to be mailed. Consider mention of classes of 1761 and 1861 for added interest.

Registration: Send confirmations; manage sign-in ledger. Consider plan for monthly payments.

Satellites: Negotiate or clarify fees, deadline for payment, meals furnished or for purchase. Some classes want their members admitted only if they have paid class dues; obtain list.

Student crew: Write job descriptions. Avoid hiring seniors to extent possible.

Technology: Coordinate use of web site.

Theme: Settle it early.

Transportation: See list of hotels and schedule of buses; add special buses as needed. How many golf carts needed for P-rade?

Yearbook: If having, appoint a good nagger as chair.

Other: Adrienne said that if there is a thunderstorm the University will require evacuation of all tents. Where the class and guests are supposed to go was not discussed but would seem to be an important issue. Into the dorm basements among the toilets?

Reunion Wi-Fi internet access will be available to all for free without passwords.
